THE CHALLENGE

No system, no single view, and reporting held together by spreadsheets.

IPC International faced major procurement challenges driven by the absence of a system and multiple fragmented data sources. Processes were highly manual, with limited automation in sourcing and contracting and low consistency across departments, resulting in time-consuming activity and duplicated effort.

There was no contract management system, contributing to unmanaged supplier contracts, and very limited visibility of active and upcoming initiatives, making cross-functional alignment difficult.

Reporting relied on fragmented spreadsheets, and capacity constraints were intensified by manual processes and data that was difficult to access. IPC sought a Source-to-Contract platform to address inefficiency, governance and data centralisation.

To deliver the transformation, cross-functional IPC teams worked closely with TSM’s technology experts to configure best-practice processes and establish a single source of truth for suppliers, contracts and sourcing activity across the business.

A phased, fixed-price rollout, sequenced around what teams were ready for.

TSM and IPC International undertook an extensive discovery phase to align requirements, priorities and best practice, before TSM engaged on a fixed-price basis to deliver the core functionality, giving IPC financial certainty from the outset.

PHASE 1 · ONBOARDING FIRST, THEN EVERYTHING ELSE

Supplier data quality as the foundation, not an afterthought.

Supplier registration and onboarding were delivered first, followed by risk management, sourcing, contract lifecycle management and performance management at appropriate stages. Establishing a strong foundation of accurate supplier and contact data before expanding into sourcing and contracts proved a valuable exercise, and enabled more effective supplier engagement from the start.

PHASE 2 · ADOPTION & ONGOING SUPPORT

Built for adoption, and supported long after go-live.

Ease of adoption was treated as a critical success factor for both internal and external supplier users, with functionality delivered only when teams were ready for it. Beyond go-live, a structured support framework was put in place: monthly sessions, training workshops, webinars, ongoing business-as-usual support, a knowledge hub and a fortnightly newsletter, embedding Ivalua into everyday operations.
